A functional capacity assessment (FCA) (also known as a functional capacity evaluation) is a detailed evaluation completed by a qualified occupational therapist that documents a person's functional abilities and how their disability affects their capacity to perform activities in daily life. The NDIS uses it to understand your support needs and guide planning and funding decisions.
The key components of the assessment are structured around the six functional domains defined by the NDIS: Mobility, Communication, Social Interaction, Self-Care, Self-Management, and Learning. This is because occupational therapy training is specifically focused on assessing a person's functional abilities and the factors that affect daily living and functional participation.

How long does a functional capacity assessment take?
The time varies depending on your individual circumstances and the complexity of your support needs. The face-to-face component is used to gather data on your functional capacity and typically takes between one and four hours, involving one or two visits.
Report writing is a separate process and generally takes between five and eight hours, meaning the full assessment process from first visit to completed comprehensive report can take ten hours or more in complex cases. Your therapist will discuss immediate availability and give you a clear timeframe before your assessment begins.
Is the assessment conducted at my home?
PotentialMe's services are mobile, and we visit you at home or in the community across Greater Melbourne and nearby regions. An FCA can be conducted wherever best reflects your everyday life, whether that is your home, a community setting, another location relevant to your daily routine, or even online through a secure telehealth session. Where relevant, our occupational therapists may also incorporate a functional mobility assessment to observe how you move through your home and community environment.
Conducting the assessment in your own environment gives us the most accurate picture of how your disability affects your functioning. And if online works better for you, we can still deliver a streamlined, high-quality assessment experience without missing a beat.
How is an FCA different from a diagnostic assessment?
A functional capacity assessment focuses specifically on a person's ability to perform tasks in daily life, including physical and cognitive abilities. A diagnostic assessment, by contrast, confirms a diagnosis or identifies a medical condition. An FCA helps the NDIS understand the practical impact of your disability on daily life and what supports are needed going forward.
Is an NDIS functional capacity assessment funded by the NDIS?
Yes. An FCA is eligible for NDIS funding and is typically covered through your Capacity Building budget under the category of Improved Daily Living. This funding is available to eligible NDIS participants and does not reduce the funds available for your other supports.
If you are a new applicant, it may be arranged through the access process. Can you work with my support coordinator or other providers?
Yes. We collaborate with your broader care team, including support coordinators, psychologists, GPs, and family members, to make sure the assessment process is as smooth and comprehensive as possible.
Can an FCA be used at plan renewal or review?
Yes. An NDIS functional capacity assessment is particularly valuable at plan renewals or when your circumstances have changed, as it provides a current, evidence-based baseline of a person's current functional status.
If your existing plan no longer reflects the level of support you require, an updated FCA gives your planner the clinical evidence needed to justify an increase in funding.
What types of support or equipment can an FCA recommend?
